Administrative Assistant - Interface Systems, Longview, TX

SUMMARY
To assist and support managers in the day to day operations of the branch office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides administrative support to Branch Manager or Office Manager. Administrative support includes preparing, faxing, mailing, compiling items as requested by Branch Manager.
  • Administer company policy regarding office operations and procedures for accounts receivable, accounts payable, preparation of payrolls, personnel, inventory control, filing systems and other clerical services.
  • Answer incoming phone calls and direct them to the appropriate department.
  • Works as a liaison between Branch and Corporate Office.
  • Prepare reports by accumulating appropriate data. Reports include accounts receivable, accounts payable, preparation of payrolls, personnel, inventory control information.
  • Maximizes office productivity through use of Word and Excel applications.
  • Maintain contact with customers and outside vendors.
  • Other duties may be assigned.

  • General accounting knowledge.

EDUCATION and/or EXPERIENCE
High School Diploma

SKILLS and ABILITIES
Excellent written and verbal communication skills.

While performing the duties of this job, employee is regularly required to sit in an office environment. Employee is frequently required to talk or hear to interact with employees/customers. Employee is frequently required to use the telephone. Employee will frequently use a personal computer. The employee is occasionally required to stand, crouch, kneel, climb or crawl to maintain files. The employee must frequently lift objects up to 10 pounds that could include company materials, files and small equipment. Specific vision abilities by this job include close vision, depth perception and ability to adjust focus in order to view reports, computer screen, forms and operating manuals.
